Portrait Party Plan

Portrait parties are an opportunity to have professional portraits created within the comfort of your own home. As hostess, you will invite and schedule 6-12 of your friends or family members to attend your portrait party. You earn print credits based on their sales.

Sessions are scheduled every 20 minutes and can be in your home or outdoors (weather permitting). For indoor sessions, I will provide a backdrop and studio lighting. Portraits can be children, family (5 or fewer people per group), or couples.

My normal session fee is waived for your portrait party. Regular portrait pricing will apply. I will also have 2 Portrait Party packages your guests may choose from. Proofs will be available via a private online site 7-14 days following your party. Each guest will typically have 8-12 proofs available for viewing. The online gallery will be available for 2 weeks after posting. All orders and full payment are collected by the hostess and are due no later than the end of the 2 weeks. Any orders placed after that date will NOT qualify for hostess credit. Completed orders along with full payment will be turned in at the end of the 2 week viewing period.

Hostess credit is based off the total sales of your party (excluding sales tax).The more you sell the more you earn! Print credit must be used towards prints taken at your party.

Once we have scheduled your date:

Invite your guests as soon as possible, ideally at least 2 weeks in advance. I will provide paper and/or email invitations. It is your responsibility to get the invitations to your guests. Remember your earned credit percent increases with the number of guests photographed. Always over invite to account for those who will not be able to attend.

Schedule your guests. Keep in mind children’s nap and eating schedules when making their appointments. Sessions must be scheduled back-to-back, leaving no gaps in the schedule. If your final schedule has open times, you will need to reschedule guests to fill those slots. Don’t forget to schedule your family’s session!

Provide your guests with a party information packet as soon as they are confirmed. The information packet contains an order form and pricing information.

Reconfirm your guest’s attendance and scheduled session time 2-3 days prior to your party. Remind guests to be at your home and prepared for their session no less than 10 minutes prior to their scheduled time. This allows us to stay on schedule for every guest. Guests who are late may not be able to be photographed.

Provide Marie May Photography with your guest list and schedule, including names and ages of those we will be photographing. This list should be emailed or faxed to me no later than 2 days prior to your party.

Determine what area will be used for the “studio” and where your guests will wait. These need to be separate areas to prevent unnecessary distractions during the sessions.

Party Day:

Prepare the areas you will be using for the studio and the guests. Furniture may need to be moved or removed to make adequate space. We will discuss this prior to your party.

As guests arrive, ask for their completed order form.

Ensure that guests are directed to the studio area for their scheduled time. You may also need to help direct the prior session out of the studio area and back into the guest area.

Provide guests with ordering information. Stress that there will be a 2 week window in which all orders must be placed once the online gallery is available. You will only receive credit for orders turned in and paid for within that time. You will collect order forms and payment. The day following your 2 week ordering period, we will meet. At this time, I will need you to turn in all orders and payment. We will also determine your credit at that time.

Prints will be delivered 3-4 weeks after we close your party. I will deliver the finished prints to you for delivery to your guests. They will be packaged and labeled by guest name.
